Customers General Info. Tab

The General Information window contains all the addresses and telephone numbers associated with the Customer along with information on the contact and the Customer’s status.  The system defaults to the General Information window whenever you select the Customers option.  To access the General Information tab from another window within Customer maintenance, click on the General Information tab, or press “Alt G”.

 

When you add a new Customer, the system will display the Customer Edit window as follows:

 

Enter or edit the information on the Customer’s General Information window according to the following specifications:

 

Code

The Customer code is a nine-character alphanumeric field used to identify the Customer within the system.  The system does not allow the use of duplicate codes.  The sort field is used to sort the customers alphabetically.

 

Name

Enter the name of the customer.  The field allows for up to thirty-five alphanumeric characters and is required.

 

Contact

Enter the name of the person you would normally contact when calling the customer.  The field allows for up to thirty-five alphanumeric characters and is required.

 

Email 1

Enter the contact’s primary email address. The field allows for up to twenty-five alphanumeric characters and is optional.

 

Email 2

Enter the contact’s secondary email address. The field allows for up to twenty-five alphanumeric characters and is optional.

 

Web

Enter the customer’s Web address. The field allows for up to twenty-five alphanumeric characters and is optional.

 

Sort By

Enter a fifteen-character sort by name used to sort the customers alphabetically on the selection list and reports.  The system defaults to the first word in the name field, accept the default value or enter a different name.  An entry in this field is required.

 

Status

Accept the default value of active, or change the status to inactive by selecting the inactive box. The system defaults to displaying only the active customers on the selection lists.

 

To save and exit the Customer window, press Page Down, click on the OK button, or press “Alt O”.   To exit without saving the Customer window, click on the Cancel button, press “Alt C”, press Esc, or click on the “X” in the upper right corner of the screen.

 

To access online help, click on the Help button, press “Alt H”, or press F1.

 

The General Information tab includes separate windows for the customer’s address and telephone numbers.

 

Address Window

The system allows for the following types of customer addresses:

Mailing

Shipping

Home

Other

 

To access the address section, click in the Address box, or press “Alt R”.  

 

Address Maintenance

To add a new address, move to address box of the General Information window and click on the Add button, press “Alt A”, or press the Insert key.

 

To edit an existing address, highlight the address and click on the Edit button, press “Alt E”, or press Enter.  

 

To delete an existing address, highlight the address and click on the Delete button, press “Alt L”, or press the Delete key.

 

The system will display the customer’s Address window as follows:

 

Enter or edit the information on the address window according to the following specifications:

 

Type

Select the address type by clicking on the drop-down box arrow located on the right side of the box.

 

Address 1

Enter the first line of the address for the selected address type.  The field allows for up to thirty-five alphanumeric characters and is required.

 

Address 2

Enter the second line of the address for the selected address type, if necessary.  The field allows for up to thirty-five alphanumeric characters and is optional.

 

City

Enter the official city or township for the above address.  The field allows for up to twenty characters and is required.

 

State

Enter the U.S.P.S. code of the state for the above address, or click on the Lookup button to select the state from the browse window.  An entry in this field is required.

 

Zip Code

Enter the U.S.P.S. Zip Code for the above address.  The system provides for the required standard five-digit code, along with the four-digit extension and is required.  

 

Country

The system defaults the country to the United States.  To select a different county click on the drop-down box arrow.  An entry in this field is required.

 

To save and exit the Address window, press Page Down, click on the OK button, or press “Alt O”.   To exit without saving the Address window, click on the Cancel button, press “Alt C”, press Esc, or click on the “X” in the upper right corner of the screen.

 

To access online help, click on the Help button, press “Alt H”, or press F1.

 

Phone Window

The system provides for the following types of customer telephone numbers:

Business

Emergency

Fax

Home

Mobile

Other

 

To access the phone’s section, click in the Phone box, or press “Alt P”.  

 

Phone Maintenance

To add a new phone number, move to phone section of the General Information window and click on the Add button, press “Alt D”, or press the Insert key.

 

To edit an existing phone number, highlight the desired phone number and click on the Edit button, or press “Alt I”.  

 

To delete a phone number, highlight the phone number and click on the Delete button, press “Alt T”, or press the Delete key.

 

The system will display the Phone window as follows:

 

Enter or edit the information on the phone window according to the following specifications:

 

Type

Select the phone type by clicking on the drop-down box arrow.

 

Phone Number

Enter the telephone number for the selected telephone type.

 

To save and exit the Phone window, press Page Down, click on the OK button, or press “Alt O”.   To exit without saving the Phone window, click on the Cancel button, press “Alt C”, press Esc, or click on the “X” in the upper right corner of the screen.

 

To access online help, click on the Help button, press “Alt H”, or press F1.
