Enter Applicable Destination, Producer, and Owner Rates for Each Product
The above steps should be completed on ALL Tracts.
Is the tract a lump sum purchase? If yes, enter the Cruise Information.
Is the tract located in the state of Georgia? If yes, enter the PT-283T information.
Do you want to enter projected income and cost for the tract? If yes, enter the projected information on the Projected tab.
Entering Financial Information
Is the tract a lump sum purchase? If yes, enter the purchase amount. There are two ways to enter the purchase amount.
Recommended: When entering the voucher to purchase the tract, assign the voucher to the tract.
Other: Enter the purchase amount after-the-fact via the Purchase Amount field on the Financial Tab in Tract Maintenance.
Is there an advance from a mill? If yes, enter the customer advance amount. There are two ways to enter the advance amount.
Recommended: Enter the customer advance amount via the Customer Advance field on the Financial Tab in Tract Maintenance.
Other: Enter the customer advance amount via the Advance tab field in Customer Maintenance.
Is there a Performance Deposit on the tract? If yes, there are two ways to enter the Performance Deposit.
Recommended: When entering the voucher for the performance deposit, assign the voucher to the tract. The system will automatically prompt you for the tract code, if a default performance deposit general ledger account number is assigned in the Fiber System Control file.
Other: Enter the performance deposit after-the-fact via the Performance Deposit field on the Financial Tab in Tract Maintenance.
Is there an Owner Advance on the tract? If yes, there are two ways to enter the Advance.
Recommended: When entering the voucher for the Owner Advance, distribute the voucher to the owner account receivables general ledger account number. The system will automatically prompt you for the deduction code, click the lookup button to display the selection list. When the default deduction selection list is displayed, either add a new deduction code, or edit an existing code and make the deduction tract specific. If you attempt to select the deduction without making it tract specific, the advance will not appear on the tract financial window.
Other: Entering an owner advance after-the-fact. Create a tract specific deduction for the owner (File Maintenance – Owners). The general ledger account number for the deduction must be the Owner Accounts Receivable account number.
Is there a Miscellaneous Expense on the tract? If yes, there are two ways to enter the miscellaneous expense.
Recommended: When entering the voucher for the miscellaneous tract expense, distribute (interface type=T) the voucher to the tract. The system will automatically prompt you for the tract code, click the lookup button to display the selection list.
Other: Enter the miscellaneous tract expense after-the-fact via the Miscellaneous Expense field on the Financial Tab in Tract Maintenance.
Is there a Notes Payable on the tract? If yes, creating a notes payable entry is a two-step process.
First Step: You must setup a tract specific deduction for the owner that creates an accounts payable entry (File Maintenance – Owners) and enter a transaction to setup the current balance. The following fields must be checked on the deduction window:
Memo Balance, Create A/P, Stop at Zero Balance, Tract Specific, Notes Payable
To create a current balance for the deduction, click on the History tab, and the then click the Add button.
Click on the Create A/P tab to setup the payables information. Enter the Notes Payable general ledger number on the accounts payable distribution window.
Second Step: You must enter the notes payable amount and general ledger account number on the tract (File Maintenance - Sources – Financial). Click on the Notes Payable field and add the notes payable information and then assign the general account number.
